Guidelines for Communications during Recruiting

Goals

Every candidate should feel they were treated with respect, even when they didn’t get an offer, or even an interview. Engaging in timely communications is key to making this happen, especially because so many companies have chosen not to provide feedback at all.

  1. Acknowledge receipt of application, ideally within 24 hours

  2. Always send outcome email as soon as possible - don’t keep people on the back burner if their candidacy is not being actively pursued.

  3. If a candidate is sitting in a queue for a week or longer, give them a ping, so they know they’re still in the queue somewhere.

  4. Please be giving. Job searching can be a bummer, so if there’s something you or we can do to help, please consider offering. For example, if someone doesn’t have a buildings background, but seems to be attempting a career pivot, encourage them and offer an informational, if you have the bandwidth and the spirit moves you.

Email Templates (Hubspot Snippets)

  1. Please use the templated language below so that we maintain consistency on outgoing messaging. You can access the messages below as snippets in Hubspot.

  2. The messages below are intentionally neutral. If you feel it’s appropriate to add a personal touch, please make sure any modifications have a positive angle.

  • Avoid language that suggests that they were found wanting (e.g. “we don’t think you’re a fit for this role”)

  • If you had a particularly enjoyable conversation, let them know

  • If it’s someone we’d want to consider for future positions, ask them to keep an eye on the job postings and do some selling of why they should continue to be interested
